Conference and congress registration: how to set it up
A university symposium, a professional congress or a lecture series runs like any capacity-limited event, with two twists: several rates and an accreditation to check at the desk.
Define the rates first
- Students and institution staff, usually reduced or free.
- Professionals and general public.
- Speakers and guests, with places reserved outside public sales.
- Single-day registration versus full congress.
Capacity per room, not just overall
If parallel sessions have different capacities, publish each room as its own ticket type with its own stock. That avoids the classic scene of one overflowing room and another half empty.
Accreditation and the front desk
Each registration generates a QR. The desk scans it and hands over the physical badge if there is one. Exporting the attendee list the day before lets you print badges alphabetically and confirm catering numbers.
Certificates and follow-up
The validation log doubles as proof of attendance: you know who entered and when, so certificates go only to people who actually attended.
