QR check-in: how to validate tickets at the door

QR codes replaced paper lists because they solve two problems at once: proving a ticket is valid and stopping it being used twice.

How a QR ticket works

When payment is confirmed, a unique code is generated per ticket. The code holds no personal data: it is a reference checked against the database at scan time. If someone forwards their ticket, whoever enters first consumes it and the second attempt shows as already validated.

How many entry points you need

  • Up to 150 attendees: one scanning point is usually enough.
  • 150 to 500: two points plus one person handling exceptions.
  • Over 500: one point per 250 attendees expected in the peak half hour.

Common door mistakes

  • Dim phone screens: ask people to raise brightness before scanning.
  • Poor signal indoors: test connectivity at the exact entry point the day before.
  • Flat batteries: bring power banks for the door team.
  • Not announcing doors-open time: half the queue arrives within fifteen minutes.

Handling exceptions

Keep one person with dashboard access who can search by email or order number. Most issues are purchases made with a different email or tickets sitting in a spam folder.
