Free tickets with registration: capping capacity without charging
A free event still has a capacity. Registration turns 'let's see who shows up' into a number you can plan chairs, catering and staff around.
Why register a free event
- You know how many people to expect and can size the room.
- You have a way to reach everyone if the time or venue changes.
- You control entry exactly as in a paid event, with QR codes.
- You build an attendee list for your next date.
The no-show problem
Free events typically lose 20% to 40% of registrations. Two measures cut that: a reminder the day before, and releasing unconfirmed places shortly before doors.
If capacity is tight, charging a small refundable amount — returned at the door or as a drink — raises commitment noticeably.
Setting it up in Vibenti
Publish the event and create a ticket type priced at zero with the capacity you need. Attendees register with their email, receive a QR ticket, and you validate at the door as usual. With no charge, there is no commission either.
